I have a few different AIs keeping an eye on my email these days, and one of them has a very specific job. It watches my business inbox for client questions and client replies, so nothing important sits there while I’m heads down on something else. And because I have my business brain connected, it knows how to draft the replies.
By the time I open the email, the answer is already sitting there for me to read, tweak and send.
The AI Move
Most of the questions clients send you are ones you’ve answered before. What’s included, how long it takes, whether you have a spot next month. Once AI knows your answers, it can have the reply ready before you open the email.
Keep the permissions small. The task reads, matches and sketches out replies. You’re the one who presses send. When a new question shows up three times, add it to the FAQ so the task can handle it next time.
The best part? Your answers stay consistent, because every reply starts from the same file.
This week’s prompt
Paste this into AI once your email is connected. It will find your repeat questions, build your FAQ and write the instructions for your scheduled task.
ROLE: You are my client support assistant. Your job today is to find the questions my clients and leads keep asking and turn my answers into a reusable FAQ.
CONTEXT: I run a [type of business]. My email is connected. My clients and leads usually write in about [two or three examples of what they ask].
REQUEST: Search my sent emails from the last 90 days for replies to clients and leads. Group the questions people keep asking and list them from most to least common. For each one, write an FAQ answer using my own wording from those emails. Keep my prices, timelines and policies exactly as I wrote them. Flag any place where my answers contradict each other so I can pick one. Finish by writing instructions I can paste into a scheduled task: each morning, check new emails for questions this FAQ answers and sketch out a reply from it, saved as a draft. Leave every other email alone. Never send, archive or delete anything.
Setups like this are easier to build alongside other founders working on the same thing. The Unstoppable Community opens in Q1 2027, and the waitlist is open now at theunstoppableai.com/community. Early names help shape what we build first.
